1. Agreement to Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("Officer," "User," or "you") and ReportShield LLC, doing business as ReportMax ("ReportMax," "we," "us," or "our"). By creating an account or using the ReportMax platform, you agree to be bound by these Terms.
If you are using ReportMax on behalf of a law enforcement agency, you represent that you are authorized to bind that agency to these Terms, and references to "you" include your agency.
2. Description of Service
ReportMax is an AI-assisted law enforcement report drafting platform. The Service generates first-person draft narratives based solely on facts entered by the officer. The Service:
- Accepts officer-provided facts as plain text input
- Automatically tokenizes personally identifiable information (PII) on your device before transmission
- Uses a third-party AI API to generate a draft narrative using tokenized data
- Returns the rehydrated draft for officer review, editing, and certification
- Maintains a tamper-evident audit log of all generation events
ReportMax is a drafting aid only. It does not file reports, submit documents to any agency system, or constitute the official report of record. All reports must be reviewed, corrected, certified, and submitted by the responsible officer through their agency's official systems.
3. Account Registration
You must register for an account to use the Service. You agree to provide accurate, current, and complete information during registration, including your badge number, employing agency, and a valid email address. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
You must notify us immediately at admin@reportmax.support if you suspect unauthorized access to your account. ReportMax is not liable for any loss or damage resulting from your failure to protect your credentials.
Multi-factor authentication (MFA) is required for all accounts. You agree to complete MFA verification each time you log in from an unrecognized device.
4. Acceptable Use
You agree to use the Service only for lawful law enforcement report drafting purposes and in compliance with your agency's policies. You agree not to:
- Enter information you are not authorized to access or process
- Enter CJIS-restricted Criminal Justice Information without formal agency authorization for this platform
- Attempt to reverse-engineer, scrape, or extract data from the Service
- Share your account credentials with any other person
- Use the Service to generate reports for incidents you did not personally observe or investigate
- Submit AI-generated content as a report without reviewing, correcting, and certifying it
- Use the Service for any purpose other than legitimate law enforcement report drafting
- Attempt to circumvent security controls, including MFA requirements
5. Officer Responsibility and Certification
You acknowledge and agree that:
- AI-generated draft content may contain errors, omissions, or inaccurate statements
- You are solely responsible for reviewing every sentence of any AI-generated draft
- You must correct all errors before certifying or submitting any report
- Your certification of a report confirms your personal review and acceptance of responsibility for its factual accuracy
- ReportMax does not replace officer judgment, supervision, or legal responsibility
- AI assistance does not relieve you of your duty to accurately record the facts of an incident
6. Subscription and Payment
ReportMax offers a free tier (limited to 5 reports) and paid subscription plans ("ReportMax Pro"). Subscription fees are billed in advance on a monthly or annual basis through our payment processor, Stripe. All fees are non-refundable except as required by applicable law or as expressly stated in a refund policy.
We reserve the right to change subscription pricing with 30 days' prior notice. Continued use of the Service after a price change constitutes acceptance of the new price.
7. Privacy and Data Handling
Your use of the Service is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the data practices described in the Privacy Policy.
ReportMax's tokenization architecture replaces subject names and other direct identifiers with opaque tokens on your device before any data is transmitted to our AI subprocessor. The AI subprocessor never receives raw subject-identifying information.
8. Intellectual Property
The ReportMax platform, including its software, design, trademarks, and content, is owned by ReportShield LLC and protected by applicable intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to use the Service for your lawful law enforcement purposes during your active subscription.
You retain ownership of the facts you enter and the finalized report content you produce. You grant ReportMax a limited license to process your input solely to provide the Service. We do not use your report content to train AI models.
9. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. REPORTMAX DOES NOT WARRANT THAT AI-GENERATED CONTENT WILL BE ACCURATE, COMPLETE, OR FREE OF ERRORS. NO AI OUTPUT CONSTITUTES LEGAL ADVICE.
REPORTMAX IS NOT CERTIFIED FOR CJIS-RESTRICTED CRIMINAL JUSTICE INFORMATION USE. AGENCY AUTHORIZATION IS REQUIRED BEFORE ENTERING ANY RESTRICTED DATA.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, REPORTMAX SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF REVENUE, DATA, OR GOODWILL, ARISING OUT OF YOUR USE OF THE SERVICE, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. OUR TOTAL LIABILITY TO YOU FOR ANY CLAIMS ARISING FROM THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO REPORTMAX IN THE THREE MONTHS PRECEDING THE CLAIM.
11. Indemnification
You agree to indemnify, defend, and hold harmless ReportShield LLC and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising from your use of the Service, your violation of these Terms, or your violation of any applicable law or regulation.
12. Termination
We may suspend or terminate your account at any time for violation of these Terms, non-payment, or at our discretion with reasonable notice. You may cancel your subscription at any time through your account settings or by contacting support. Upon termination, your right to use the Service ceases immediately.
13. Governing Law and Disputes
These Terms are governed by the laws of the State of Mississippi, without regard to its conflict of law principles. Any dispute arising from these Terms shall be resolved through binding arbitration in accordance with the American Arbitration Association's Commercial Arbitration Rules, except either party may seek injunctive relief in a court of competent jurisdiction.
14. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via email or in-app notice at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
